It is simple to clean up pick lists in Blue Mountain RAM, including:
- Multiple versions of the same item (ie. Digital Caliper, Dig Cal, and D. Caliper)
- Obsolete items
Belonging to a group that has the “Application Pick List Maintenance” right enables you to clean up pick lists by opening the field’s Item Selection Window. A Blue Mountain RAM Administrator can add a person to a group that has this right or decide to create a group for “Pick List Administrators” to isolate this right from other rights. Let’s take a look at the steps for creating a group, adding members, and assigning the right, and then see how the right is used.
Adding a Group and Its Members
1) In System Configuration, expand: Sites > YourSite > Security, and highlight: Groups.
2) Click the NEW button to start the Add New Item Wizard. Choose “I want to create a new Group.” (The other choice, “I want to create a new Group based on an existing Group,” copies the membership of the group you indicate; not its rights.)
3) Create a Group named: Pick List Administrators with the Description: Members can edit pick lists from Item Selection Windows on records. Members do not have access to System Configuration.
4) Finish by selecting “Open the newly created record” and clicking FINISH.
5) The new group record, Pick List Administrators, will open.
6) Be sure to check the “Active” checkbox so the group can be used in the system.
7) On the Members tab, click the NEW button and add members to the group. Save.
Assigning the “Application Picklist Maintenance” Right to the Group
1) In System Configuration, expand: Sites > YourSite > Security, and highlight: Rights.
2) In the list of groups, locate and open Pick List Administrators.
3) In the Rights Edit (Pick List Administrators) window, select the Application tab.
4) Scroll down to the “Picklists” section. Next to the listing of Application Picklist Maintenance, check the Grant/Deny checkbox. The green checkmark signifies the right is granted.
5) Save the changes to the rights . Members of this group are only gaining the right to edit pick list content. All other rights to access and work in Blue Mountain RAM will belong to them through their membership in other groups.
How Members of the Group Apply the Right to Maintain Pick Lists
Having the “Application Picklist Maintenance” right enables users to see and use the Picklist Maintenance Button in a field’s Item Selection Window. To open a field’s Item Selection Window, click the More Button next to the field.
The Picklist Maintenance button opens the Picklist Configuration Window, where the bottom half of the window displays the current Pick List Items and offers a toolbar to add, edit, and delete the Pick List Items.
NOTE: The top half of the Picklist Configuration Window controls the name and behavior of the picklist. This portion can only be changed from within System Configuration by a Blue Mountain RAM site-level Administrator. For the group made in this example, it is view-only.
If the checkbox option, “Maintain Order” is enabled, the green Up and Down Arrow buttons rearrange the order of items. Otherwise, items will be presented in ascending, alphabetical order.
It is important to note that the right of Application Picklist Maintenance, allows one to edit pick lists of text items (examples: Manufacturer, Units, Usage, Criticality, etc.). Only a Blue Mountain RAM Administrator with access to System Configuration, can edit pick lists of Blue Mountain RAM Records (examples: Personnel, Reports, Documents, Requests, etc.).
