Did you know that… You can control if work records are created, based on the current status of the parent asset or event? And – You can make this choice separately for Batch Work Generation and User creation of work records (Create Work Wizard)?
This article covers two ways of specifying if work records can be generated:
- By current STATUS of parent ASSET record
- By current STATUS of parent EVENT record
The controls for this are found on the Asset and Event Rule’s ‘State’ tab; ‘Properties’ sub-tab. You may choose to enable one without enabling the other.
- Exclude From Batch Work – Prevents Batch Work Generation of work records
- Exclude From Create Work Wizard – Prevents user generation of work records
For an asset, an example of using status to control if work can be created, might be: enable ‘Exclude’ settings on statuses such as ‘Retire’ or ‘Cancel’ to ensure that work records are not created for assets not being used.
For an event, an example of using status to control if work can be created, might be: enable ‘Exclude’ settings on statuses such as ‘Draft’ or ‘Inactive’ to ensure that work records are not created for events that are not fully configured or inactivated for some reason.
What is the difference between enabling these rule properties on an asset or an event?
When enabled on ASSET rules, these settings prevent the creation of work of any type for the asset controlled by the rule while it is in the state/status with the settings enabled. No work can be created for the asset until its status is changed.
When enabled on EVENT rules, these settings prevent the creation of work for any event controlled by the rule while the event is in the state/status with the settings enabled. An asset can have many events, so at any time, one may exclude creating work while another does not.
