Q.
Can I send someone some of the records in my dataset,
without exporting them through Crystal Reports?
A.
With 4.0, you can! Here’s how: From the Table
View, select the records you want to send someone (by
using a Select/Sort, or holding down the SHIFT or CTRL
key and clicking them). Then choose File>Save As
from the menu and choose a location and name for the
file. You can then e-mail someone the file or move it
to a network location. When anyone opens the file, the
Calibration Manager login screen will appear. They would
log in, just as they normally would (obviously, they
must be set-up as a user with rights to view those records)
and there will be the records you sent!! They will be
able to view the Events, the Histories…everything
for those records!
Q. Is there a way to get a comprehensive
list of the Keyboard Shortcuts for Calibration Manager?
A.
- Open
the "Help" menu and click "Index"

Click on the "Search" tab

In the "Type in the keyword to find:"
box, type "key" & click "List
Topics"

This will bring up a Topic, "Appendix B - Keyboard
Shortcuts"

Highlight this Topic and click the "Display"

Q.
Is there a way of identifying the specific steps
that must be followed when performing a Calibration or
a Preventative Maintenance operation? How about being
able to reference those steps again and again without
retyping?
A. Calman4 provides that feature! These
predefined steps are called Workflow Templates. A Workflow
Template, defined at the system level, is assigned to
an event. It may then be printed out as a checklist on
work forms and certificates. When that event is completed
and entered as a History record, the steps of the Workflow
Template will be included and must be checked off as completed.
The record will also track which user completed the steps,
and any comments that the user enters.
Q. I have just completed my Calman
4.0 Install and have logged in for the first time. What
is that window that is covering up half of your equipment
records when you open them?
A.
That is the Family Tree…a very useful feature
of Calman 4.0. The Family Tree allows you to view all
of the Events and Histories for an Equipment record
in one place. But you don’t have to leave it where
it is!!! You can resize it and move it wherever you
want. The next time you open Calibration Manager, it
will remember where you wanted the Family Tree and appear
there from now on!
Q. When I create a select in Crystal
Reports (i.e. System ID “is one of”), and
want to choose an entry from a pick list, I do not see
all of my System ID’s in the list?
A. This is because Crystal Reports has
a 500-entry limit on pick lists. Well, Crystal does offer
a workaround for this by changing a couple registry settings
on your workstation. Here is the link to the Crystal article

that is crucial to the operation of the Windows operating
system. Only people experienced with using the Windows
registry should undertake the following steps. Do NOT
modify the registry if any of these steps are confusing
to you. This registry fix is being provided from Crystal

YOUR OWN RISK!)
Q. Is there a way to assign the same
dataset permissions to multiple users?
A. With Calibration Manager 4.0 you can
create a "Role" to accomplish this. "Roles"
are used to quickly assign predetermined dataset permissions
to Dataset Users. For example, you have several Users
that only review History records so they only need to
view records and electronically sign History records.

to create them in Chapter 4 of the Administrator Tools
Manual.
Q.
I like the idea of my users viewing and working
with only the records that they need. Is there a way
to setup Calman so they do not have to filter through
pages of unnecessary records to see what they want?
A. Security Selects allow you to determine
which specific records a user may view from within a
dataset. For example, a user from the R&D department
could be setup to view only the records from R&D.
The same could be done using Location or Contact Person
-- in fact, most fields from the Equipment Master table!
Security Selects are created and assigned from Administrator
Tools. For more details, see Chapter 4 of the Administrator
Tools manual.
Q.
Is there anything to keep in mind when sending email
messages to techsupport@coolblue.com?
A.
- On
the Subject line, enter your Serial Number or Case
Number/tech initials. For example: "Calman SN
12345" or "Calman Case # 45678ma".
- In
the body of your message, include your Calibration
Manager version number
- When
reporting errors, please include a snapshot of the
error message and a brief description of what you
were doing (relating to Calibration Manager) just
before the error occurred.
Of
course, if you prefer to have that "personal touch"
and actually talk to a Technician, here are a few tips
to ensure a smooth start:
- Dial
(814) 234-2417 and select Option 2
- Have
your Serial Number (or Case #) ready. (The Technician
will ask you for one of these!)
- If
you have a question regarding a message that you encountered,
either have the message up on your screen when you
call, or have a snapshot of the message handy.
- Jot
down some notes of what you were doing (relating to
Calibration Manager) just before the message displayed.
Q. Could empty spaces at the beginning
of an entry cause a problem?
A. Yes, you should review your picklists
for any entries that begin with one or more spaces.
Make a list of them then delete them from your picklists.
Lastly, compare the list you made with your actual data
records and remove the beginning spaces there also.
Q. I use multiple datasets and each
dataset contains Standards, how can I configure Calibration
Manager 4.0 to quickly show (on the History record's
Standard tab) which dataset the Standard is located
in?
A. In Administrator Tools:

Rename one of your available Equipment Master User
Fields to “Home Dataset”.

Go to Static Fields > Equipment Static Fields For
Standard, and add "Home Dataset" to the
list of static fields for Standards.

Repeat Steps 1 & 2 for each dataset that contains
Standards.
In
Calibration Manager:

Add the dataset name to the “Home Dataset”
field for each Equipment Master that is marked as a Standard.
5. Repeat
Step 1 for each Dataset.
Now,
if you assign a Standard from a different dataset to
your History record, the “Home Dataset”
will be listed under the Static Fields area.
Q.
I entered a new Equipment Master record, and then had
to delete it. If I try to reuse that same System ID/Component
ID combination, I see the message “The field pair
System ID and Component ID must form a unique identifier.
Please change either field.”
A. The reason for this is that when an
Equipment Master record is deleted, its status is set
to "Deleted" and it is placed in the Dataset
Recycling Bin. It is not permanently removed at this point.
In order to reuse that System ID/Component ID, you must
purge (that is, delete) the original Equipment Master
record from the Dataset Recycling Bin in Administrator
Tools. A word of warning: if “Disable Purge Records”
has been activated, you will not be able to purge (delete)
any records from the Recycling Bin.
Q. Is there an easier way to quickly
find an equipment record in Calibration Manager 4.0?
A.
There is a new feature included in Calibration
Manager 4.0 SR3 called the Quick Find Toolbar. This
new toolbar will allow you to quickly find a System
ID or Tag ID (if enabled) from anywhere in your database…even
if it’s on another page. To turn on the new toolbar
(of course, first you must install SR3!), click View>Toolbars>Quick
Find Toolbars. Then you just enter a System ID or Tag
ID you are searching for in the box and click the magnifying
glass! So easy…but so helpful!!!
